Downloading all your salon's data

Your salon's data is yours. Download everything gives you a full copy of it, any time and without asking anyone: to keep as a backup, for your records, or to take to another system. It keeps working after your plan ends.

#Who can download everything

Download everything is in Settings → Import & export. It needs two permissions:

• "Download a full copy of the salon's data and photos", which only owners have to start with, and
• "See clients' phone numbers and email addresses", because the copy has every client's contact details.

An owner can give both to someone else (see roles and permissions). Without the second, the section says you also need permission to see clients' contact details. On a Front desk device it asks for your password first. FullColumn support can never download your data.

#Downloading your salon's data

1. Open Settings → Import & export.
2. Under Download everything, choose Download your data.
3. Your browser saves one ZIP file. Open it on your computer to see the files inside.

The section says how many clients, appointments, sales and filled-in forms the download has. A big salon's download can take a little while.

Downloads only start from this page in FullColumn. A download link opened from anywhere else is refused with "Start the download from Settings → Import & export."

#What's in the data download

The ZIP file has:

• Spreadsheets of your clients, appointments, sales, services, products, team, gift vouchers, notes and colour formulas, and messages. They open in Excel or Google Sheets, and other salon systems can import them. The clients spreadsheet has each client's reminder, marketing and feedback request choices.
• Every filled-in form, consultation and feedback forms alike, each as a page that opens in any web browser, ready to print or save as a PDF.
• A copy of every table, for anyone moving your data with a program.
• README.txt, which explains each file.

#Downloading your photos

Photos come as separate downloads, under Photos in the same section: client photos, photos from forms, and your booking page pictures, as they were uploaded. Each download comes with a list of whose photo is whose.

• With only a few photos, it's one button: Download photos, with how many there are and roughly how big.
• With lots of photos, they're split into parts so no one file gets too big: Photos, part 1 of 3 and so on. Download each part.
• With none yet, it says "No photos yet."

#What the download leaves out

The copy never includes anything that would let someone sign in or open your clients' private links:

• passwords and PINs,
• two-step sign-in keys and recovery codes,
• sign-ins, trusted browsers and shared devices,
• the secret parts of the links clients get for their bookings, forms and gift vouchers.

#Downloading after your plan ends

Download everything works while your salon is read only: after a free trial that ended without a plan, while payments are overdue, and after you cancel. The owner can still sign in and download it all. FullColumn deletes a salon's data 90 days after its trial or plan ends (the banner says the day, and you're emailed before: see when your salon's data is deleted), so if you're leaving, download your copy before then.

#Keeping your copy safe

Your copy has every client's contact details, their answers to health questions on consultation forms, and their feedback. Keep it somewhere safe, like an encrypted drive or your business's own cloud storage, and delete copies you no longer need. Each download is recorded in the activity log with who made it and when.

#I only want my client list

Use Download all clients (CSV) in the same Settings → Import & export section instead: just your clients, as one spreadsheet. See exporting your client list.

#Can I bring this copy back into FullColumn later?

The spreadsheets are made for other systems to import. To bring clients into a FullColumn salon, use the client import: see bringing your clients across.

#Why can't I see Download everything?

It needs "Download a full copy of the salon's data and photos", which only owners have to start with. Ask your salon's owner.

#Does downloading change or remove anything?

No. Downloading only makes a copy. Your salon stays exactly as it is.
