Moving and changing appointments

Drag an appointment to a new time or stylist, change how long it takes, undo a move, move it to another day, edit it and rebook the client.

Plans change. On the calendar you can drag an appointment to another time or stylist, stretch it, and put it back with Undo if you got it wrong. For another day there's Move to another day…, and Edit changes anything else about it.

Dragging an appointment to a new time or team member

  1. Press on the appointment and drag it. It snaps to the steps set in Settings → Calendar → Snap appointments to.
  2. Drop it at the new time. Drop it in another team member's column to give it to them.
  3. A message says where it went ("Moved to 2:30pm with Mia"), with Undo.

When the appointment has several services that day and you drag one of them, FullColumn asks Move every service?:

  • All services moves the whole appointment by the same amount. The services that were with the same team member as the one you dragged go to the new team member; the others keep theirs.
  • Only and the service's name ("Only Cut") moves just the one you dragged.

A move is never stopped by a clash. If the new time clashes, or the team member isn't working, the message after the move says so in amber, so you can Undo it or sort it out. Booking and changing other team members' appointments needs "Book and change other team members’ appointments"; without it, you can only move your own.

What happens to the price when an appointment moves to another team member

When services go to a team member who charges something different:

  • Cheaper with them: the price drops to theirs, and the message says so ("· now $85 (Senior)").
  • Dearer with them: FullColumn asks Keep $85 or charge $95?, with Charge $95 and Keep $85. Close the question to cancel the move.

Prices stay as they were for an appointment that's been checked out, for a bundle with its own price, and when the client has paid a deposit or the whole price online. A price never drops below what the client has already paid online: the message says "kept the booked prices". Lengths always stay as booked.

Changing how long an appointment takes

Drag the bottom edge of an appointment to make it longer or shorter. It snaps to the same steps as moving, and any services after it in the same appointment move along with it. The message says when it now ends ("Cut now ends at 3:30pm"), with Undo.

For a service with processing time, the edges change the busy time and the processing instead: see processing time and padding.

Moving appointments on a phone or tablet

On a touch screen, a quick swipe scrolls the calendar, so moving starts with a touch and hold:

  1. Touch and hold the appointment until it lifts, then drag it.
  2. Let go without moving and it stays picked up, raised, with round grips on its edges. Drag a grip to change its length (or its busy and processing time).
  3. Tap anywhere else to put it down. That tap does nothing else, so it won't start a new appointment by accident.

Blocked time works the same way. See also using FullColumn on phones and tablets.

Undoing a change on the calendar

Every drag, resize and change of processing time shows a message with Undo. It puts every service in the appointment back exactly as it was: the times, the team members, the processing and the prices. Status changes (checking in, cancelling) and moves of blocked time have Undo too.

The message only stays a few seconds. Missed it? Drag the appointment back, or open it and Edit it.

Moving an appointment to another day

  1. Open the appointment and choose ⋯ → Move to another day….
  2. A bar says "Moving Sarah Walker · Cut – pick any day, then click a time to drop it there."
  3. Go to the day with the arrows, the date or the week view, and click a time in the right team member's column.

The whole appointment moves, keeping the gaps between its services. Dropping it in a team member's column gives them the services that were with the first service's team member. The price rules and Undo are the same as for a drag. Press Cancel in the bar, or Esc, to stop.

Move to another day… is there for appointments still going ahead (booked, confirmed, arrived or in progress) and for booking requests.

Editing an appointment

Open the appointment and press Edit (shown for appointments still to come), or choose ⋯ → Edit appointment (Change the request for a booking request). In Edit appointment you can change the date and time, the client, the services, who does them, their lengths and prices, and the notes, then press Save changes. The same clash warnings apply.

  • When you change the time and the client has a mobile or email, Let them know about the new time sends them a confirmation with the new time. It's off unless you turn it on.
  • Changing the client gives the appointment a new booking link, so the first client's link no longer shows it.
  • An appointment booked online with a promo code keeps each service's discount as booked ("Promo code SPRING, as booked"). A service you add gets none.
  • An appointment that's part of a repeat series says "Changes here are just for this appointment."

A completed appointment can't be edited.

Rebooking a client

To book a client's next visit from one they've had:

  • On a completed appointment, press Rebook in 6 weeks. The number of weeks is the longest Rebooking reminder of its services, or 6 weeks when they have none.
  • On any appointment, choose ⋯ → Rebook… for the same.

New appointment opens that many weeks after the appointment's date, at the same start time, with the same client, services and team members. Each service has its length and price as they are on your menu now (one that's no longer on the menu keeps what it was booked at). Change anything you like, then book it. Checkout offers rebooking too: see checking out.

A booking request that didn't go ahead has Book another time… instead, which opens on the same day.

What the client hears when an appointment changes

  • Dragging, resizing or Move to another day… sends the client nothing. Let them know yourself, or send a fresh confirmation with ⋯ → Send confirmation.
  • Edit sends a confirmation with the new time only when Let them know about the new time is on.
  • Their reminder goes again for the new time, even if one went for the old time: at the usual time before it, or soon after the move when the new time is already that close. A "before your appointment" service message goes again for the new day too.

See confirmations and reminders.

When a change frees time someone on the waitlist could have

After you move, shorten, cancel or delete an appointment, or mark it a no-show, FullColumn looks for anyone on the waitlist who fits the time it freed. If someone does, a message says so ("Sarah Walker on the waitlist fits 2:00pm with Mia"), with Show and Offer. See the waitlist.

Common questions

I dragged an appointment by mistake. How do I put it back?

Press Undo in the message straight away. If it's gone, drag the appointment back, or open it and Edit the time.

Can I move just one service of an appointment?

Yes. Drag that service, and choose Only with its name ("Only Cut") when FullColumn asks Move every service?.

Does moving one appointment in a repeat series move the rest?

No. Each appointment in a series is its own, so only that one moves. See repeat appointments.

Why didn't the price change when I moved it to a cheaper stylist?

The appointment has been checked out, is part of a bundle with its own price, or the client has paid a deposit or the full price online.
