Stock report: stock value, low stock, product sales and margins

See what your retail stock is worth at cost and retail, what's low or needs a count, what sold and its margin, and how each product's stock moved.

Reports → Stock shows what's on your shelves and what it's worth now, what's running low, what sold in the dates you choose and how much you made on it, and how each product's stock moved. It needs "See reports for the whole salon" (owners and managers to start with). For adding products, receiving stock and counts, see products and stock levels.

Stock on hand and what it's worth

The top of the Stock report is your stock right now, whatever dates you choose. It counts products that are on sale and have Track stock turned on; a product below zero counts as none.

Figure What it is
Stock on hand Units on the shelf, and how many products are tracked.
At cost Units × each product's cost price, without tax (what you paid your supplier). Under it: how many products have no cost price.
At retail Units × each product's price today.
Low or out Products at or below their low-stock level, and how many are out.
Needs a count Products below zero on record: more were sold than you had.

By category and By supplier split the units and values up. Low and out of stock lists each product that's low or out, with its supplier, what's on hand, its low-stock level and how many you usually reorder. See suppliers and purchase orders.

Products that need a count

When the Stock report shows Needs a count, some products are below zero: more were sold than FullColumn had on record (a delivery that wasn't received in, say). Count them to put it right, or the values on the Stock report will be low. See stock takes.

Product sales and margins

Product sales on the Stock report lists every product sold in the dates (by the date of each sale, voided sales left out), with:

  • Sold: units.
  • Sales ex GST (named after your tax): what clients paid, after every discount (a discount off the whole sale is shared across its items) and without tax.
  • Cost of sales: units sold × the product's cost price today. Past cost prices aren't kept, so a change of cost changes past margins too.
  • Margin and %: sales less cost of sales, and its share of sales.

The overall margin is at the top. Products without a cost price have no margin and are left out of it; the report says how many. A product you've since deleted still shows its sales, without a margin.

Stock movement

Stock movement on the Stock report shows, for each product whose stock changed in the dates:

Column What it is
At the start Stock at the start of the first day
Received Deliveries received in
Sold Sold at checkout, less any voided sales put back
Used Taken off for use in the salon
Counted Stock takes and other corrections
At the end Stock at the end of the last day

Changes are counted on the day they happened. A sale voided in these dates puts its stock back in these dates, so Sold here can differ from Product sales, which leaves voided sales out of the day they were made.

Downloading the Stock report

Export CSV on the Stock report saves one row per product: brand, category, supplier, SKU, status, on hand, cost and retail price and value, low-stock level, stock at the start and end, received, sold, used, counted, units sold, sales (as rung up, and after all discounts without tax), cost of sales and margin.

Common questions

Why is product revenue on the Overview higher than on the Stock report?

The Overview shows products at the price rung up, before any discount off the whole sale and (where your prices include tax) with tax. The Stock report's sales are after every discount and without tax, so margins compare like with like: cost prices are without tax.

Why doesn't stock on hand include some products?

Only products on sale with stock tracking on are counted. Archived products and ones you don't track aren't.

Why does a product show a margin of nothing?

It has no cost price. Add one to the product to see its margin.

Are products used in the salon counted as sales?

No. They're in Used under stock movement, not in product sales.
