Repeat appointments (standing bookings)
Book a client's standing appointment all at once, every few weeks or months, checking each date, skipping or moving any, and cancelling the rest.
A weekly blow-dry, a colour every six weeks: for regulars, book the whole run in one go. FullColumn checks every date before anything is booked, so you can skip a week the stylist's away or pick another time that day.
How repeat appointments work
A repeat booking is a series: the first appointment and its repeats.
- It repeats every 1 to 12 weeks, or every 1 to 12 months.
- It's 2 to 12 appointments in all (the first included), or as many as fit until a date you choose (still no more than 12).
- Monthly ones fall on the same date each month, or the last day of a shorter month (31 Jan, 28 Feb, 31 Mar), always counted from the first.
Each appointment in the series is an ordinary appointment of its own, with the same services, team members, prices and notes as the first. Each has its own reminder, booking link, consultation forms and checkout. The series only links them, so the appointment can say "Repeats every 6 weeks · 2 of 5" and the rest can be cancelled together.
Repeat bookings are for clients the team books in: not for walk-ins, people booked from the waitlist, or bookings made online.
Repeating a new appointment
- Start a new appointment and choose the client and services.
- Under Repeat, choose Every week, Every 2 weeks (3, 4, 5, 6 or 8), Every month, Every 2 months or Every 3 months, or Other… for every so many weeks or months.
- Under How many, choose So many times and how many appointments in all (6 to start with), or Until a date.
- Check the Dates list, skipping or moving any that won't work (below).
- Press Book 6 appointments (it says how many).
The client gets the first appointment's confirmation only, if Send booking confirmation is on. Each appointment's reminder goes as usual before it.
Checking, skipping and moving the dates of a repeat booking
Under Dates, the first appointment is number 1 and each repeat is listed after it. Every date is checked like any appointment:
- Fits, in green, when it's clear.
- What's wrong, in a few words: in red for a clash or the salon being closed ("Clashes with Sarah Walker 10am", "Salon closed"), in amber for anything else ("Mia is off", "Outside Mia's hours", "Mia has blocked time (Lunch)").
- Already gone for a date in the past: it isn't booked.
For each date, Skip leaves it out (and Book puts it back), and the time list books that one at another time that day. The booking button waits until the dates have been checked; if the check doesn't go through, press Check again.
If any date still has a problem when you book, Book anyway? lists them: "Skip a date, or pick another time on it, if that won't work." Book anyway books them all as they are.
Repeating an appointment that's already booked
To make an existing appointment the first of a series:
- Open the appointment and choose ⋯ → Repeat this booking….
- Choose how often and how many (it starts at the appointment's rebooking interval, or every 6 weeks).
- Check the Dates, where "This appointment" is number 1.
- Press Book 5 more (it says how many).
The repeats copy the appointment as it's booked: its services, team members, prices and notes. Nothing is sent to the client now; each one's reminder goes as usual.
Repeat this booking… is there for an appointment with a client, booked by the team, that's going ahead or has been (booked, confirmed, arrived, in progress or completed), and isn't already in a series. For an online or imported booking, use ⋯ → Rebook… and set the new appointment to repeat.
Seeing an appointment's series
An appointment in a series says "Repeats every 6 weeks · 2 of 5". See the series lists every appointment in it, with its date, time and status (or "Paid"). Click one to open it.
The first appointment's history says how it was set up ("Every 6 weeks, 5 in all"), and each repeat's says "Repeat booking, 2 of 5".
Changing one appointment in a repeat series
Each appointment in a series is its own. Moving, editing, cancelling or checking out one leaves the others as they are, and its editor says "Changes here are just for this appointment."
There's no way to change every appointment in a series at once. To move all the ones still to come to a new day or time, cancel the rest of the series (below), then rebook from the new time with Repeat set.
Cancelling the rest of a repeat series
- Open an appointment in the series and choose ⋯ → Cancel the rest of this series… (or the button under See the series).
- The question lists the dates it cancels: this appointment and the ones after it that are still to come, booked or confirmed, and not paid for. Ones that have been, been checked in or checked out stay as they are.
- Let the client know (one message for them all) sends a single cancellation naming every date. It's ticked to start with.
- Press Cancel 4 appointments (it says how many).
Without "Book and change other team members’ appointments", you can cancel the rest only when every one of them is yours.
Deposits and promo codes on repeat appointments
No deposit or online payment is asked for on the repeats, and promo codes and discounts aren't copied to them. Take a deposit on any appointment in the series as usual: see deposits and card on file.
Who can make repeat appointments
Repeating an appointment works like booking it: without "Book and change other team members’ appointments", only for your own appointments. Owners have every permission.
Common questions
How far ahead can I book a repeat series?
Up to 12 appointments in all, every 1 to 12 weeks or months. To book more later, open the last one, choose ⋯ → Rebook… and set it to repeat again.
Does each appointment in the series get a reminder?
Yes. Each one is an ordinary appointment, with its own reminder before it.
The stylist is away for one of the dates. What do I do?
Skip that date, or pick another time that day, before you book. If it's already booked, move or cancel just that appointment.
Can clients book a repeat appointment online?
No. Repeat bookings are made by the team. Online bookings can be rebooked and repeated from the appointment.
