# Recording petty cash

> Record cash taken out of the till for milk or stamps, or put in to top up the float, so the end-of-day cash-up still balances.

Source: https://docs.fullcolumn.com/sales/petty-cash

Petty cash is any cash that leaves or joins the till that isn't a sale: milk and coffee, stamps, a cleaner paid in cash, or change brought from the bank. Recording it means the [end-of-day cash-up](https://docs.fullcolumn.com/sales/cash-up) expects the right amount in the till, so a $4 bottle of milk doesn't show up as the till being short.

## Recording cash taken out of or put into the till

1. Open **Sales → Cash-up**. Petty cash is in its own section, under the day's payments.
2. Press **Add**.
3. Choose **Taken out of the till** or **Put into the till**.
4. Enter the **Amount**.
5. Say **What for**, or tap a suggestion: **Milk**, **Coffee & tea**, **Stamps** or **Cleaning** for cash out; **Float top-up** or **Change from the bank** for cash in.
6. Under **Who**, choose the team member who took or put in the cash. It's you to start with.
7. Press **Save**.

The entry shows with what it was for, who, the time, and the amount in red (out) or green (in).

## How petty cash changes the cash-up

The cash expected in the till is:

**opening float + cash taken − petty cash taken out + petty cash put in**

The cash-up shows it under **Cash** as **Expected in till**, spelling out the float and petty cash ("incl. $150.00 float, less $4.50 paid out"). If you add or remove petty cash after the day's cash-up was saved, the cash-up says "Petty cash has changed since this was saved" until it's saved again.

## Cash refunds of account credit

When a client's account credit is refunded in cash, it's recorded in petty cash for you, as "Account credit refunded to" and their name, so the till still balances ([account credit](https://docs.fullcolumn.com/checkout/account-credit)). It stays in the till's record and can't be removed from petty cash.

## Removing a petty cash entry

Recorded something by mistake? Press the bin on the entry and confirm **Remove**. It isn't deleted: it stays on record, crossed out under **Removed**, with who removed it, and the cash expected in the till changes.

## Petty cash for an earlier day

Petty cash is usually recorded on the day. To add or remove an entry for an earlier day, open that day's cash-up: it needs **See reports for the whole salon**. You can't record petty cash for a day that hasn't happened yet.

## Who can record petty cash

| What | Needs |
| ------------------------------------- | ----------------------------------------------------------------------------------- |
| Adding petty cash today | **Cash up the till** (everyone, to start with) |
| Removing an entry today | **Void sales and remove petty cash entries** or **See reports for the whole salon** |
| Adding or removing for an earlier day | **See reports for the whole salon** too |

Owners have every permission; managers have all of these to start with ([roles and permissions](https://docs.fullcolumn.com/team/roles-and-permissions)). On a shared [Front desk device](https://docs.fullcolumn.com/team/shared-devices), someone switched in with their PIN can add today's petty cash, but removing an entry needs them signed in with their password.

## Common questions

### Is petty cash an expense report?

No, it's only there to keep the till right. Keep receipts for your bookkeeping as you normally would.

### Someone took $20 out to buy foils. Is that petty cash?

Yes: **Taken out of the till**, $20, "Foils", with who took it.

### We put coins in from the bank. How do I record that?

**Put into the till**, with **Change from the bank**. If you swapped notes for coins of the same value, there's nothing to record: the total in the till hasn't changed.

### Can the team see who took cash out?

Yes. Every entry shows who took or put in the cash, and removed ones stay visible with who removed them.
