# Takings, revenue and money in: the Overview report

> What the Overview report's revenue, takings, tips, tax, gift vouchers, money in by method, account credit, discounts and appointment figures count.

Source: https://docs.fullcolumn.com/reports/takings

**Reports → Overview** is the salon at a glance for the dates you choose: what you took and how it was paid, tax and tips, gift vouchers and account credit, discounts, appointments and clients, and each team member's sales. It needs "See reports for the whole salon" (owners and managers to start with). For choosing dates and downloading, see [Reports: an overview](https://docs.fullcolumn.com/reports/overview).

## Which sales the Overview counts

The money on the Overview comes from sales that were finished at checkout in the dates you chose:

- **A sale counts on the day it was put through at checkout**, not the day of the appointment. A Tuesday appointment checked out on Wednesday is Wednesday's.
- **Voided sales never count**, whenever they were voided. Voiding a sale from last month takes it out of last month's figures. Only the **Commission** column under **By team member** takes it back on the day it's voided instead, as Pay does.
- **A parked sale** doesn't count until it's finished.
- **Gift vouchers bought online** count on the day they were bought, and **no-show and late cancellation fees** on the day they were charged (as other items).

Appointments are different: they count on the day they're for. See [why numbers differ between reports](https://docs.fullcolumn.com/reports/why-numbers-differ).

## Revenue and the takings figures on the Overview

The **Takings** row at the top of the Overview:

| Figure | What it is |
| ---------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Revenue** | Everything taken, less tips, gift vouchers sold and any tax added on top of your prices. Under it: the number of sales and the average sale (revenue ÷ sales, not counting sales of only gift vouchers). |
| **Services** | Services sold, at the price charged after any discount on that service, before any discount off the whole sale. Under it: its share of everything sold. |
| **Products** | Products sold, worked out the same way, with the number of units. |
| **Tips** | Tips given at checkout. They're not in revenue. |
| **Gift vouchers sold** | The value of gift vouchers sold in the dates. Under it: what's still unspent on gift vouchers right now, from any date. |

Revenue is on the same footing as your prices. If your prices include tax (GST in Australia), revenue includes it; if tax is added at checkout, revenue leaves it out. Each sale is worked out by how it was charged, so changing that setting never changes earlier revenue.

For example, with prices that include GST, a $110 cut with a $20 tip paid by card is $130 taken, $20 in tips, $10 GST included, and $110 revenue. With prices before GST, a $100 cut plus $10 GST and a $20 tip is also $130 taken, but revenue is $100.

Gift vouchers are revenue when they're spent, on the services and products they pay for (and taxed then), not when they're sold. Account credit is in revenue when it's spent at checkout, not when it's paid in.

## The revenue chart on the Overview

The Overview's chart shows sales by day (**Revenue by day**), or by week when the dates cover more than about two months (**Revenue by week**), in three colours: **Services**, **Products** and **Other** (no-show fees and other custom items: gift vouchers sold aren't in the chart, because they aren't revenue until they're spent). Switch between **Chart** and **Table** to read the figures. For a single day it shows **Where the money came from** instead.

The chart adds up what each item was sold for, before discounts off whole sales. When there were any, the chart says so ("Item totals, before whole-sale discounts of $45.00"), and its total is that much more than revenue.

## Money in by method

**Money in by method** on the Overview is the money that came in, split by how it was paid (**Cash**, **Card**, **EFTPOS / card terminal**, **Bank transfer**, **Other** and any payment types you've added), with the number of payments and each one's share. It's the figure closest to what reached your till and bank:

- **Payments on sales** in the dates, except account credit and gift vouchers used at checkout: that money was counted when it was paid in, or when the voucher was sold.
- **Plus deposits** taken onto clients' accounts (online or at the desk), on the day they were taken, under how they were paid.
- **Less account credit refunded**, on the day it was refunded, under how it went back.
- **Less card refunds made in the Stripe Dashboard**, taken off **Card** on the day each was made. The sale they were on still counts as sold, and a note under the list says how much was refunded.

Gift vouchers are money in when they're sold, under how they were paid for. Spending one at checkout isn't counted again.

## The For the accounts box on the Overview

**For the accounts** on the Overview breaks revenue down:

- **Total taken (incl. tips):** everything the sales came to, however it was paid.
- **Discounts given:** discounts off whole sales. Discounts on single items are already in the item prices, and are counted in **Discounts by reason**.
- **Tips**
- **GST included** or **GST added** (your tax's name): the tax on the sales.
- **Gift vouchers sold**
- **Revenue:** total taken less tips and gift vouchers sold (and less tax added on top of your prices).

Gift vouchers are revenue, and taxed, when they're spent, not when they're sold. The [Accounts report](https://docs.fullcolumn.com/reports/accounts) has the same totals for the same dates, with the tax summary by month and every transaction.

## Account credit on the Overview

The **Account credit** card on the Overview shows credit clients hold with you (deposits included):

- **Held for clients now:** every client's credit balance today, whatever dates you chose. It's owed to them until they use it, so it isn't revenue yet.
- **Deposits taken in these dates**
- **Used at checkout:** credit spent on sales in the dates. This is when it becomes revenue.
- **Refunded:** credit given back to clients.

**Show clients** lists who holds credit, with their **Balance**, the **Refundable** part (what they paid in, rather than credit you added) and their **Last movement**. Choose a client to open their account. See [account credit](https://docs.fullcolumn.com/checkout/account-credit).

## Discounts by reason

**Discounts by reason** on the Overview adds up every discount in the dates by the reason chosen at checkout, both discounts off a whole sale and discounts on single items, with how many there were. Promo codes show as "Promo code" and the code. Discounts without one are under **No reason given**. Because it includes discounts on single items, the total can be more than **Discounts given**, which only counts discounts off whole sales. See [discounts at checkout](https://docs.fullcolumn.com/checkout/discounts).

## Appointments and clients on the Overview

The **Appointments & clients** row on the Overview counts appointments by the day they're for, including ones later in the dates that haven't happened yet. Booking requests that were declined, withdrawn or not answered aren't counted, and neither are times held while a client pays online: they count once they've paid.

| Figure | What it is |
| ---------------------------- | ------------------------------------------------------------------------------------------------------------------------------------- |
| **Appointments** | Appointments going ahead or been, not cancelled or no-shows, with how many are completed. |
| **Occupancy** | Time booked with the team as a share of their rostered hours. |
| **Next visit booked** | Of the clients who came in, the share who have another visit after their last one in the dates: still to come, or already been since. |
| **New clients** | Clients whose first visit ever is in the dates, out of the clients seen. |
| **No-shows / cancellations** | How many of each, and their share of all bookings in the dates. |
| **Online bookings** | Bookings made on your booking page, and their share of all bookings. |

**Occupancy** compares the time booked with each team member (processing time left out, because they're free then) with their rostered hours, for people with a calendar column who are still on the team. Each person counts up to 100%, so someone overbooked doesn't hide someone quiet. Blocked time isn't booked time, and doesn't come off rostered hours: give someone a day off in their roster for that. See [team hours and the roster](https://docs.fullcolumn.com/team/hours-and-roster).

**Next visit booked** isn't the rebooking rate on Team performance, which only counts clients who left with their next visit booked. See [why numbers differ between reports](https://docs.fullcolumn.com/reports/why-numbers-differ#four-ways-of-measuring-clients-coming-back).

## The By team member table on the Overview

**By team member** on the Overview has a row for everyone with sales, appointments or rostered hours in the dates:

- **Services** and **Products:** sales put through under their name, as on the Takings row. Tips aren't in them.
- **Tips:** tips given to them.
- **Commission:** only for people with "See and change pay and commission". It's worked out as **Reports → Pay** does: after discounts, without tax, at the rate on the day of each sale. A sale voided later stays in its day's commission and is taken back on the day it's voided, while **Services** and **Products** leave voided sales out. See [pay and commission](https://docs.fullcolumn.com/reports/pay-and-commission).
- **Appts:** appointments they worked on.
- **Occupancy:** their booked time as a share of their rostered time. Hover to see the hours.

## Top services and top products

**Top services** on the Overview lists the 12 services booked most in the dates (appointments that weren't cancelled or missed), with how many and what they were booked at, less any promo code discount. **Top products** lists the 12 products that sold for the most, with how many units.

## Common questions

### Why is revenue less than the total taken?

The total taken includes tips, gift vouchers sold and (where tax is added to your prices) the tax. Revenue leaves them out.

### Why doesn't money in by method add up to revenue?

They measure different things. Money in is what was paid, tips included: deposits on the day they're paid, gift vouchers on the day they're sold, refunds on the day they're made, and not account credit or gift vouchers spent at checkout. Revenue is what was sold, without tips (or tax added to your prices), with gift vouchers counted when they're spent.

### A client paid a deposit last month and came in this month. Where does it count?

The deposit is money in last month (**Deposits taken**). The appointment's sale is revenue this month, and the part paid from their credit shows in **Used at checkout**, not in money in again.

### Why did last month's revenue go down?

A sale from last month was probably voided. Voided sales come out of the Overview for the day they were made. [The sales list](https://docs.fullcolumn.com/sales/sales-list) shows voided sales crossed out, and **Reports → Pay** and **Reports → Accounts** show when each was voided.

### A client was refunded in the Stripe Dashboard. Does their sale still count?

Yes. The sale still counts as sold, and the refund comes off **Card** in money in on the day it was made. To take a sale out of revenue, void it instead. See [refunds and voiding sales](https://docs.fullcolumn.com/checkout/refunds-and-voids).

### Does Takings today on the Today page match revenue?

Yes. **Takings today** on the Today page is the Overview's revenue for today, for people with "See reports for the whole salon". Someone with only "See their own takings and targets" sees **Your takings today** instead: their own services and products, as Team performance counts them.
