# Charging no-show and late cancellation fees

> Keep a client's deposit or charge their saved card when they don't show up or cancel late, and set your suggested fee and cancellation policy.

Source: https://docs.fullcolumn.com/checkout/no-show-fees

When a client doesn't come, or cancels late, you can charge a fee: keep some or all of their deposit, or charge the card they saved. FullColumn suggests the fee, but never charges anything by itself. You decide each time.

## Setting your suggested no-show fee

1. Open **Settings → Payments → No-shows & late cancellations**.
2. Under **Fee**, choose **Percentage** (of the appointment's price with tax, as clients see it) or **Fixed amount**, and set it. It starts at 50%.
3. Write your **Cancellation policy**, like "Please give us 24 hours' notice to cancel or change. Missed appointments may be charged 50% of the booking."
4. Press **Save**.

The policy is shown on Stripe's page when clients pay a deposit or save a card. With no policy written, the card page says the card won't be charged now and a fee may apply if they don't show up or cancel late.

Changing these needs **Connect Stripe and SMS, and change payment settings**.

## Charging a no-show or late cancellation fee

1. Open the appointment and mark it: **Mark no-show**, or **Cancel appointment**.
2. In its **Payments** panel, **Charge a no-show fee?** (or **Charge a late cancellation fee?**) appears when the client has account credit or a saved card. For an appointment cancelled with more notice, press **Charge a fee**, which opens **Charge a cancellation fee**.
3. Check the amount, then press **Take the fee from their credit** or **Charge card**.

The fee is recorded as a sale for this appointment, named "No-show fee", "Late cancellation fee" or, for a cancellation with more notice, "Cancellation fee". The appointment stays a no-show or cancelled, and shows **Fee receipt**. Tax is counted as included in the fee.

A cancellation is late when it was made inside your cutoff for **Changes & cancellations online** (**Settings → Online booking**, 24 hours to start with), as the [Bookings report](https://docs.fullcolumn.com/reports/bookings#what-counts-as-a-late-cancellation) counts it. Only those ask **Charge a late cancellation fee?**; one cancelled with more notice can still be charged with **Charge a fee**, so check your policy first. Clients can't cancel from their booking link inside your cutoff (see [online booking rules](https://docs.fullcolumn.com/online-booking/booking-rules)), so a late cancellation usually comes by phone.

## Keeping a deposit as the fee

**Take the fee from their credit** keeps money from the client's [account credit](https://docs.fullcolumn.com/checkout/account-credit), where their deposit went. The amount starts at this appointment's deposit (or your suggested fee), never more than their credit. Leave anything you don't keep on their account for next time.

- Anyone can keep this appointment's own deposit as the fee.
- Taking more of their credit than that needs **Charge saved cards and no-show fees**. Without it, FullColumn says "Only this appointment's $20.00 deposit can be kept as the fee. Ask a manager to take more of their credit."

The account history shows it as **Kept as a fee**.

## Charging the fee to a saved card

**Charge card** charges the amount to the card shown, like "to Visa ••4242": the card saved when this appointment was booked, otherwise the client's card on file. The amount starts at your suggested fee, and must be at least 50c.

- It needs **Charge saved cards and no-show fees**: owners and managers have it by default. Without it, the card option doesn't show.
- On a Front desk device, it asks for your password first.
- If the card is declined, nothing is recorded, and you can try again or keep the deposit instead.
- If the card is charged but the fee can't be recorded, the charge is refunded in full automatically.

To have a card to charge, ask for a card on file: see [deposits and card on file](https://docs.fullcolumn.com/checkout/deposits#saving-a-card-on-file-without-charging-it).

## When there's no fee to charge

The fee section doesn't show when:

- the client has no account credit and no saved card (or Stripe isn't set up)
- a fee has already been charged for this appointment: there's one fee per appointment
- the appointment was a booking request that was declined or withdrawn, since it never went ahead.

## Undoing a no-show fee

Press **Fee receipt** on the appointment, then void the sale from its menu: see [voiding a sale](https://docs.fullcolumn.com/checkout/refunds-and-voids#voiding-a-sale). A card fee is refunded to the card, and credit kept goes back on their account. Voiding needs **Void sales and remove petty cash entries**.

## Common questions

### Does FullColumn charge no-show fees automatically?

No. It suggests the fee when you mark a no-show or cancel; you choose whether to charge it.

### The client has no deposit or saved card. Can I still charge a fee?

Not from the appointment. You could add it as a custom item at their next checkout, if your policy allows.

### Can I charge less than the suggested fee?

Yes. Change the amount before you press the button.

### Can I charge both the deposit and the card?

There's one fee per appointment, taken one way. Keep the deposit, or charge the card.
